Recording your timesheet, step by step
Your timesheet is the list of lessons you record in the Teacher Portal. Your pay is calculated from these records, so record every lesson on the day you teach it.
Record a lesson
- 1
Open the Teacher Portal
Go to the school website and open the Teacher Portal, or go straight to /teacher. Bookmark this page on your phone so you can record lessons right after class.
- 2
Sign in
Enter the Username and Password the office gave you, then tap Sign In. Capital letters do not matter in the username, but they do in the password.
If the office has replied to one of your contact requests, you will see the message first. Read it, then tap Continue to my lessons.
- 3
Find your way around
You land on My Lessons, which is your timesheet. The menu at the top also has Student Audits, Materials and What's new. A red number on What's new means there is a change you have not read yet.
- 4
Start a new lesson record
Tap Record New Lesson. If you have never recorded a lesson, the button says Record Your First Lesson.
- 5
Choose the class first
Open Class and pick the class you taught. This one choice fills in the usual time, location, pay type and student list for you, so always do it first.
For a lesson that does not belong to any class, choose One-off lesson (no class).
- 6
Check the date and time
The date starts as today. If you are recording a past lesson, change the Dateand the start time moves to that class's slot on that weekday.
The End Time is set from the length of the class. Change either time only if the lesson really ran at a different time.
- 7
Check lesson type and location
Lesson Type is chosen for you from the class and the attendance. Leave it as it is unless the office asks you to change it, because it decides your pay rate.
If the class runs in more than one place (for example a classroom and Online), choose the Location where you actually taught.
- 8
Mark attendance
Each student on the class list has four buttons. Tap one for every student who was booked into this lesson. Leave students blank if they attend a different day or time. See Attendance & pay below for what each button means.
If someone came who is not on the list, type their name under Extra attendees and tap +.
- Student ACame to the lesson
- Student BCancelled less than 24h before
- Student CAttends a different weekly slot, so left blank
Example of the Attendance section. The highlighted button is the one that was tapped. - 9
Add content, homework and notes
Write what you covered in Content Covered and any Homework Assigned. Use Notes / Comments for anything the office should know.
Tick Contact requiredif the office needs to follow up, for example a parent request. The office's reply will appear when you next sign in.
- 10
Save the lesson
Tap Record Lesson. You go back to My Lessons and the new lesson appears at the top of Recent Lessons. Check that the date, time and attendees look right.
Tip: Repeat steps 4 to 10 for every lesson. Recording on the same day is the easiest way to avoid mistakes.
Attendance & pay
Attendance decides how a group lesson is paid. A group lesson is paid at the group rate when two or more students count as booked, and at the private rate when only one does. Lessons for client companies are paid at that client's own rate.
| Button | Use it when | For pay |
|---|---|---|
| Present | The student came to the lesson. | Counts as booked |
| No show | Booked, but did not come and did not cancel. | Counts as booked |
| LCXL | Late cancellation: cancelled less than 24 hours before. | Counts as booked |
| Cancelled | Cancelled before the 24-hour cut-off. | Does not count |
| (blank) | Not booked in this slot, for example a student who attends another day. | Does not count |
Fix or copy lessons
Change a lesson
In My Lessons, tap the pencil icon on the lesson, make your changes, then tap Update Lesson.
Delete a lesson
Tap the bin icon on the lesson and confirm. To delete several, tick them and tap Delete Selected. Deleting cannot be undone.
Copy lessons to another date
Useful for a class you teach every week. Tick the lessons, tap Copy Selected, choose the New Date and tap Copy Lessons.
Important: A copy does not carry over the attendance buttons. Open each copied lesson, mark attendance for that day and tap Update Lesson, otherwise the pay type may be wrong.
End of month
Before the month ends, check that every lesson you taught that month is in My Lessons and that the attendance is correct.
After the month ends, the office closes it for payroll. Lessons in a closed month show an Archived badge and can no longer be changed or deleted. If you find a mistake after that, contact the office.
Common problems
- "Invalid username or password"
- Check your password carefully, including capital letters. Your username is not case-sensitive. If it still fails, ask the office to check your account.
- My class is not in the list
- You have not been assigned to that class yet. Ask the office to add you. If you need to record it today, choose One-off lesson (no class) and add the student names by hand.
- "Mark attendance for at least one student"
- Tap a status for at least one student in the Attendance section before saving.
- "A private lesson can only have one student present"
- Private lessons have one student. Mark only the student who attended as Present.
- "This lesson has been archived and cannot be edited"
- That month has already been closed for payroll. Contact the office to make a correction.
